EcoView Retreat Privacy Policy
**Effective date:** 6 October 2026
**Version:** 1.0
## 1. About this Policy
This Privacy Policy explains how One Group Business Pty Ltd ABN 20698022632, trading as EcoView Retreat, collects, holds and uses and personal information.
It applies to our website, enquiries, bookings, accommodation, EcoView-operated retreats and programs, venue hire, third-party retreats held at our Property, promotions and giveaways, direct marketing, social-media interactions and dealings with suppliers and contractors.
We handle personal information in accordance with the Privacy Act 1988, the Australian Privacy Principles and other applicable privacy, health-record, spam and consumer laws where they apply.
This Policy is general. We also provide a short collection notice at or before the time we collect information for a particular purpose, such as a retreat health form or giveaway entry. A collection notice may explain additional details relevant to that collection.
## 2. The information we collect
Depending on how you deal with us, we may collect:
- Including name, address, postcode, and email address.
- Including dates, accommodation or room allocation, guest details, retreat preferences, attendance, transport information and special requests;
- Including invoices, payment status, refunds and limited payment references. Card payments are generally processed by our payment provider and we do not intend to retain complete card details;
- Including dietary requirements, allergies, accessibility or mobility needs, relevant health information, injury or incident information and emergency-care details, where reasonably necessary for safety or service delivery;
- Including emails, form submissions, feedback, complaints and records of customer-service interactions;
- Including entry details, postcode or state, age and residency eligibility, consent choices, entry status, winner verification, draw records and winner-publication details;
- Including interests, communication preferences, the wording, date, time and source of a consent, and unsubscribe or suppression records;
- Including Images, recordings and testimonials where a person has agreed to their collection or they are otherwise lawfully collected;
- including role, organisation, qualifications, insurance and payment details; and
- including IP address, browser and device type, cookie or advertising identifiers, pages and links viewed, timestamps, approximate location, referring page, campaign or advertisement interaction and diagnostic information.
We do not intentionally collect more information than is reasonably necessary for our functions and activities. Please do not send us a general medical history or other sensitive material that we have not requested.
## 3. How we collect information
We may collect personal information:
- directly from you through our website, booking or participant forms, email, telephone, in-person discussions, social media, surveys and promotion entries;
- from a Booking Contact, retreat Organiser, employer, companion or other person arranging a booking for you;
- from service providers, payment providers, booking platforms, prize partners and professional advisers;
- from public sources or social-media platforms when you interact publicly with EcoView; and
- automatically through cookies, pixels, tags, server logs and similar technologies, subject to applicable consent requirements.
If another person gives us your information, we ask them to be authorised to do so and to provide you with the relevant EcoView collection notice. Wherever practicable, we collect health and other sensitive information directly from the individual.
You may contact us anonymously or using a pseudonym for a general enquiry where it is lawful and practicable. We ordinarily need accurate identifying information to confirm a booking, admit a Participant, make or refund a payment, verify promotion eligibility, deliver a prize, manage safety or respond to an access request.
## 4. Why we collect, use and disclose information
We may use personal information to:
- respond to enquiries and provide quotes;
- take, administer and change bookings, allocate rooms and process payments or refunds;
- plan and deliver accommodation, venue hire, retreats, meals, activities and reasonable adjustments;
- communicate with Booking Contacts, Organisers, Participants, suppliers and emergency contacts;
- protect health and safety, provide or arrange emergency assistance, investigate incidents and meet insurance obligations;
- manage access, security, capacity, property damage and compliance with House Rules;
- conduct promotions and giveaways, validate entries, select and verify provisional winners, publish required winner information and deliver prizes;
- maintain financial, tax, insurance, legal and compliance records;
- investigate complaints, enforce agreements, prevent fraud or misuse and establish, exercise or defend legal claims;
- operate, secure, measure and improve our website, services and campaigns;
- send direct marketing where we have consent or another lawful basis; and
- comply with law, a court or regulatory requirement, or a lawful request from an authority.
We do not use health, dietary, accessibility or other sensitive information for advertising or direct marketing.
## 5. Retreat health, dietary and accessibility information
We may collect dietary requirements, allergies, accessibility needs and other relevant health or emergency information where it is reasonably necessary to safely plan and deliver a retreat or accommodation service.
We seek express consent where required. We limit collection to information relevant to participation, safety, meals, reasonable adjustments or emergency response and restrict access to people who reasonably need it, such as authorised EcoView personnel, facilitators, caterers or emergency responders.
A retreat participant form will contain a specific collection notice and consent. An Organiser should not provide a Participant’s sensitive information to us unless authorised and necessary. Wherever practicable, the Participant should provide it directly.
## 6. Promotions and giveaways
For a promotion, we may collect the entry fields described in the promotion notice and, from a provisional winner, additional information reasonably required to verify identity, age, residence and eligibility.
We use this information to administer the promotion, validate entries, conduct and audit the draw, contact and verify the winner, publish winner information required by the promotion rules or law, deal with a redraw and provide the prize.
We disclose only the information reasonably necessary for prize fulfilment to a prize partner. For example, where a prize includes a Soak Bathhouse membership, we may give Soak Bathhouse the confirmed winner’s and nominated guest’s information needed to establish the memberships. We do not give Soak Bathhouse the full entrant list for its own marketing unless each affected person has separately consented to that disclosure and use.
Winner information, such as a name and postcode, suburb, state or other detail specified in the promotion terms, may be published online. Once information is lawfully published, it may be indexed, copied or shared by others beyond our control.
Entering a promotion does not subscribe an entrant to marketing. Any marketing choice must be separate, voluntary and capable of being declined without affecting entry.
Each promotion has specific terms and a collection notice. Those documents should be read with this Policy.
## 7. Direct marketing
We send marketing emails or messages only where we have consent or another lawful basis. Where consent is requested, the option will be separate from accepting booking or promotion terms and will not be pre-selected.
Our marketing messages identify EcoView, include contact details and provide a working unsubscribe facility. You may withdraw consent at any time by using the unsubscribe link or contacting us. We action electronic-marketing unsubscribe requests within five working days. Withdrawing marketing consent does not affect an existing booking, a promotion entry or service communications that remain necessary.
We may retain a minimal suppression record so that we do not contact you again after you unsubscribe. We keep evidence of consent for as long as reasonably necessary to demonstrate that a communication was authorised.
## 8. Cookies, analytics and advertising technologies
We use cookies and similar technologies needed for website security, navigation, forms and core functionality. Subject to applicable consent requirements, we may also use analytics and advertising technologies to understand website use, measure campaigns and show relevant advertising.
The technologies actually used on our website are: BETA ADS, Meta Pixel and Conversions API.
Depending on configuration, these providers may collect or receive IP address, browser and device identifiers, cookie or advertising IDs, page URLs, clicks, timestamps, referral details and advertising interactions. They may process information in accordance with their own privacy policies.
You can accept, reject or change non-essential cookie choices through our website. Declining non-essential technologies will not prevent you from making a booking or entering a promotion, although some optional website features may work differently.
We do not intentionally transmit health, dietary, accessibility, payment-card or free-text form contents to advertising platforms. We do not activate advertising trackers on pages or in circumstances that reveal or are reasonably capable of revealing sensitive information unless we have first obtained the express consent required by law. We do not describe hashed or coded personal information as anonymous merely because it is not directly readable.
> **Implementation requirement:** Do not publish the preceding paragraph until the website has been audited and configured to operate exactly this way. A privacy statement is not a substitute for consent or technical controls.
## 9. When we disclose information
We may disclose personal information, only as reasonably necessary, to:
- authorised EcoView directors, employees and onsite personnel;
- facilitators, chefs, caterers, cleaners, security providers, maintenance providers and other contractors involved in the booked service;
- booking, website, form, payment, accounting, customer-management, email, cloud-storage, IT, analytics and advertising providers;
- a Booking Contact or Organiser where appropriate for the booking and where the disclosure is authorised or reasonably expected;
- prize suppliers and fulfilment partners for a promotion;
- emergency services, healthcare providers and an emergency contact where reasonably required;
- insurers, accountants, auditors, lawyers and other professional advisers;
- regulators, courts, law-enforcement bodies or government agencies where authorised or required by law; and
- another party with your consent or at your direction.
We do not sell or rent personal information.
## 10. Overseas access and disclosure
Some technology and service providers may store information or permit support personnel to access it outside Australia. The countries in which recipients are likely to be located include **[insert countries verified from current provider contracts and data flows]**.
Before disclosing personal information to an overseas recipient, we take reasonable steps required by applicable privacy law to ensure the information is handled appropriately. Overseas providers may also be subject to the laws of their location.
## 11. Automated and computer-assisted decisions
Where a promotion uses electronic random-draw software, the software may use an entry identifier and eligibility or validity status to select a provisional winner at random. An authorised person then verifies the entry and confirms the winner under the applicable promotion terms.
We do not use automated profiling to determine a person’s health suitability for a retreat or to make a final decision to deny a person a service. If we introduce a computer-assisted process that substantially and directly makes or informs a decision that could significantly affect a person’s rights or interests, we will update this Policy before using it to describe the kinds of information used and the decisions involved, as required by law.
## 12. Security and data breaches
We use reasonable technical and organisational safeguards appropriate to the nature of the information we hold. Measures may include access controls, staff and contractor confidentiality obligations, secure service providers, authentication, backups, monitoring and procedures for handling incidents.
No online or storage system is completely secure. If a suspected data breach occurs, we will contain and assess it and notify affected individuals and the Office of the Australian Information Commissioner where required under the Notifiable Data Breaches scheme.
## 13. How long we keep information
We retain personal information only for as long as reasonably required for the purpose for which it was collected or as required or authorised by law. Retention depends on the information and may include:
- booking, contract, transaction and financial records, generally for five to seven years where required for tax, accounting, insurance or legal purposes;
- promotion entry, draw and prize records for the period required by the applicable state rules and for a reasonable period to deal with complaints or demonstrate compliance;
- health, dietary, accessibility and emergency information only while reasonably needed for safe service delivery and any incident, insurance or legal obligation;
- marketing consent and suppression records for as long as reasonably needed to show consent or honour an opt-out; and
- technical and security logs for the period reasonably required for security, troubleshooting, analytics and compliance.
When personal information is no longer required, we take reasonable steps to destroy it securely or de-identify it, subject to lawful backups and records we must retain.
## 14. Access and correction
You may ask for access to personal information we hold about you or request a correction by contacting our Privacy Officer. We may ask you to verify your identity before responding.
We aim to respond within 30 calendar days. There is no charge to make a request or to correct information. If the law permits a charge for providing access, it will be reasonable and not excessive. If we refuse access or correction, we will give written reasons and explain available complaint options, unless the law allows otherwise.
## 15. Privacy complaints
Please send a privacy complaint to our Privacy Officer using the details below. Include enough information for us to identify the issue and the outcome you seek. We will acknowledge the complaint, investigate it fairly and aim to provide a substantive response within 30 days.
If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner at [www.oaic.gov.au](https://www.oaic.gov.au/privacy/privacy-complaints).
## 16. Children
EcoView services are generally for adults. We do not knowingly collect a child’s information unless their attendance has been approved and the collection is reasonably necessary. Where appropriate, we obtain information and consent through a parent or legal guardian and apply additional care to its handling. Promotions restricted to people aged 18 or over are not open to children.
## 17. External links and social media
Our website and social-media pages may link to services operated by other organisations. Their privacy practices are governed by their own policies. Information posted publicly on social media may be visible and reused by others; please avoid posting sensitive or confidential information in a public comment.
## 18. Changes to this Policy
We may update this Policy to reflect changes to our services, technology or legal obligations. The current version will show its effective date and version number. We will not treat a policy update as consent to a new use of sensitive information or direct marketing where separate consent is required.
