Booking Terms & Conditions

  1. Definitions
  • Booking: The period for which you have paid to stay at Eco view Retreat.
  • Property: 660 Trees Rd, Tallebudgera Valley, and all its fittings, fixtures, and equipment.
  • Management: Owners, Managers, Agents of the property.
  • Guests: Persons staying overnight in the property during the booking, including the Organiser, Staff, Facilitators, Chef/s and Presenters.
  • Visitor: A person a guest permits to visit the property during the booking. Visitors must be disclosed to Management prior to arrival.

2. Acceptance and Responsibility

  • Payment of the deposit constitutes acceptance of these terms and conditions.

3. Check-in and Check-out (Queensland time zone)

  • Check-in time is strictly any time after 2:00 PM on the arrival date, and check-out time is strictly any time before 10:00 AM on the departure date.
  • Check in and check out time means all guests leave the property, late check out beyond 10.00am will incur extra charges.
  • Late departure is subject to prior arrangement and availability, and extra charges will apply. 
  • Management must be notified of your expected arrival time and your contact number at least seven days prior to your arrival.

4. Entry and Access

  • Access to Eco View Retreat is by appointment only. Management will meet the Organiser at a prearranged time for a property and facility tour. Appointment must be made at least seven days prior to arrival.

5. Availability and Rates

  • All bookings are subject to availability. Conditions apply.
  • General rates are per night in Australian dollars and include GST.
  • Rates are effective from March 2024, and are subject to change without prior notice.

6. Inclusions

  • General inclusions may vary depending on special promotional offers.

7. Payment Policy

Deposit Payments

  • Confirmation payment of 25% (of total) will confirm your booking commencing on the date selected for the duration of your retreat.
  • Full payment is required at the time of booking for reservations made less than 30 days prior to the check-in date.
  • Bookings made 30 days - 90 days prior to the check-in date, requires a deposit of 50% of the total tariff at the time of booking. 
  • A deposit is required to confirm any booking.
  • Payment Two: Ninety (90) days from your retreat arrival day a 50% (of total) progress claim will be deducted from your credit card. If you prefer, Eco View Retreat can arrange multi payments up until this date if you need to do lesser amounts regularly, but 50% must be paid in full at this point.
  • The Final Balance for your booking must be paid 30 days prior to your arrival.
  • Payments strictly made by credit card or bank transfer. 
  • Visa and MasterCard transactions will incur a 2% transaction fee, while American Express transactions will incur a 3% transaction fee.
  • The credit card used for the deposit will be the same credit card used for payment two and the final payment. Any decline in payment may incur cancellation fees and in the event of non-payment within seven (7) days of the declined payment your booking will be cancelled. 
  • We encourage you to communicate any challenges you may be experiencing prior to any payment milestone.

8. Cancellation Policy

  • Should you cancel your booking longer than 90 days from your arrival date, your deposit will not be refunded. Should the dates be rebooked by another retreat organiser, a percentage of your deposit will be refunded and you will be charged an admin fee.
  •  If you cancel a minimum of three months prior to your arrival date, your deposit will not be refunded.
  • If you cancel between 3 months and 1 month prior to your arrival date, a cancellation fee of 50% of your total booking tariff will be charged.
  • If you cancel within 1 month of your arrival date, 100% of your total booking tariff will be charged as a cancellation fee.

9. Security Bond

  • One day prior to arrival, a credit card pre-authorization security bond (10% of the total booking tariff) will be charged on all bookings. 
  • The bond will be refunded one day following the departure day provided there is no damage, theft or breach of terms and conditions. 
  • By making a booking, you authorize us to charge your credit card for any damage, loss, or expenses incurred by Management due to your breach of these Terms and Conditions. This may include, but is not limited to, breakage, damage, theft, excessive cleaning requirements, and additional guests beyond those declared.

10. Unavailability

  • If the Property becomes unavailable due to unforeseen circumstances (e.g., fire, storm, damage, etc.) and is unsuitable for your occupancy, Management will inform you immediately and attempt to obtain suitable alternative accommodation for your occupancy. Failing which, any moneys paid will be refunded in full.

11. Noise

  • Excessive noise and functions, including parties, are not permitted. 
  • If security, police, or management is called to investigate complaints of excessive noise or anti-social behaviour, guests will incur a $500.00 call-out fee. 
  • Guests are given one warning, and if security, police, or management is called a second time, guests will be evicted immediately and will forfeit the full tariff and any security deposit. A second $1000.00 call-out fee will also be charged.

12. Parties & Functions

  • Parties, Weddings, Bucks/Hens parties, and functions are strictly prohibited.

13. Housekeeping

  • All facilities and accommodation will be clean ready for your arrival. Daily housekeeping is not provided. 

14. Linen and Towels

  • Linen, pillows, blankets, and bath and pool towels are supplied. All linen must be left where supplied in the Eco Villas or View House bedrooms on departure. 
  • Optional extra towel package linen must be left in the area supplied. 
  • Beach towels are not included.

15. Children  

  • Entry into Eco View retreat requires all guests to be a minimum of 18 years old. 
  • Eco view Retreat does not accept booking for schoolies celebrations.

16. Pets

  • Eco View’s environment is home to native wildlife, to protect the environment and habitats, pets are not allowed at the Property. Any service animals must be disclosed prior to arrival, conditions apply.

17. Indemnity

  • Management does not approve or tolerate any behaviour or activities that are unsafe, disorderly, irresponsible, or illegal while you occupy the premises. 
  • Guests must conduct themselves in a manner that is safe, respectful, and compliant with the law.
  • Management accepts no responsibility for any actions, incidents, loss, damage, or injury sustained during your stay at the premises. 
  • The Organizer should ensure they possess insurance coverage to afford their guests legal liability options.
  • All guests accept and agree that as a condition of their stay and use of facilities at the property, all guests indemnify and agree to keep indemnified the owner and agent against all liability whatsoever and howsoever arising, including but not limited to any actions, incidents, loss, or injury sustained during their stay on the property.

18. Terms of Engagement

Eco View Responsibilities

  • The property will be clean and organised for your arrival.
  • The Breeze and Valley View Rooms will be set up, on your request only, to either the Wellness or Corporate set up options.
  • All set up requests must be made a minimum of 7 days prior to arrival.

 

19. Organisers Responsibilities

  • Entry into the property by the security gate is for you and your guests only. Please do not share the gate code with anyone other than your guest’s.
  • It is your responsibility to arrange any transport to and from the airport, and to supply your guests with the location the property. Eco View Retreat is not responsible for your guests on arrival day should they get lost.
  • Any deliveries must be discussed with Management at least 7 days prior to arrival. 
  • Sending anything to the property prior to arrival (including but not limited to); parcels, boxes, or food, must be disclosed and arrangements made. 
  • The property has a security gate and entry is only with managements prior permission. 
  • The property does not have Reception and is not managed 24 hours a day. 
  • Carparking is provided for up to 12 cars. Cars may be driven to the View House for unloading, luggage etc. Cars must be parked in the allocated car park for the duration of your booking.
  • You must comply with all applicable property and facility rules. 
  • Manuals with instructions and rules must be adhered to.
  • Management expects you will comply during your occupancy to respect the property’s health and safety requirements.
  • Ensure your guests respect the Property’s environment and neighbours.
  • Ensure guests do not feed the horses on the property or enter the paddock unsupervised by Management or the Property’s authorised facilitator.
  • You are responsible for damage, breakages, theft, loss of the Property and any part of it during your stay. You must notify Management of any breach immediately. Management may recover from you repair or replacement cost (at Management's discretion).
  • ONLY the guests nominated and agreed in the Booking may stay at Eco View Retreat overnight. Any other guests staying, will incur extra charges of $200 per guest per night, or the agreement may be terminated without refund.
  • Disturbance to our neighbours, including excessive noise, is prohibited and may result in termination and eviction without refund and extra charges may be made for security and other expenses.
  • Smoking 
  • is not permitted inside any building, accommodation, on the pool decks, or verandas. 
  • smoking is discouraged, a defined smoking area can be created on request if required. 
  • smoking on any bush walks is prohibited for fire and safety regulations.

20. Prior to Departure 

  • All equipment in the View and Breeze rooms must be stored away as found. 
  • Yoga mats and all equipment must be wiped with supplied disinfectant prior to storage.
  • All food must be removed from fridges, all rubbish put in the appropriate rubbish bins provided following the instruction manual.
  • crockery and cutlery washed and packed away in the kitchen cupboards. 
  • The Property must be left in a clean and tidy condition.
  • Extra cleaning charges may be incurred for the cleaning of dirty dishes, washing machine, dishwasher, emptying the fridge, removal of excessive rubbish, etc.
  • Furniture, fixtures, and fittings are not to be altered or moved between rooms.
  • Management takes no responsibility for guest personal property left on the premises.
